Terms and Conditions

Thank you for choosing to stay at the Magnolia Guest House & Holiday Lets.  We look forward to welcoming you here.

When you make a booking, you enter into an agreement with us.  Please see our terms and conditions below.

Most frequent questions

Minimum Stay

A minimum stay/charge of 2 nights is applicable to all rooms at all times, with the exception of certain events, special weeks or weekends where the minimum number of nights is stated at the time of booking. We do not offer 1 night bookings (any rare exceptions to this are at our discretion and subject to an additional surcharge).

Parking

A parking scratch card is included in the cost of your room. This is valid in the surrounding streets within the 'W' zone. Please ensure that the information is filled in correctly as we cannot be held responsible for any fines obtained through error.

Pets

Pets are not permitted (other than guide dogs).

Deposit and Balance

A deposit of one night or 25% of the total cost of your booking (whichever is greater) will be payable when you book to confirm and secure your booking. If you have not already paid in full, the balance of your stay is payable by cash or bank transfer on arrival. Please note that we do not take credit or debit cards.

Check-in

Check-in is from 4.30pm on the day of arrival, although your accommodation may sometimes be ready before then. Should you arrive earlier, we are happy to let you pick up your parking permit and drop off your luggage.

Check-out

Check-out is by 10.30am on your final day.

Access

Please note that there are 9 steps leading up to the front door and upper ground level; no level access or ramp is available for guests with mobility limitations. The property does not have a lift.

Smoking

Smoking is not permitted within any areas of the property. This includes the use of e-cigarettes and vaping. Any person suspected of smoking on the premises will be asked to leave immediately. Full payment will be required for the duration of their stay and no refunds or offers of alternative accommodation will be made. A minimum charge of £100 will be made to any person who abuses this policy. This charge is for the additional cleaning or replacement of fabrics etc. to remove the smell of tobacco.

Prices and Rooms

The price given includes accommodation per night for up to two people in a double room, studio or apartment, or for up to three people in the ground floor room, or for up to four people in the attic apartment.

We accept payment by cash or bank transfer.

We do not accept large group/party/hen/stag bookings (again, exceptions to this are at our discretion).

The West Cliff ‘pay and display’ car park, which is located nearby, is free during the Winter period, so we may sometimes suggest that you park there as an alternative.

Reservations/Deposits

A deposit of one night or 25% of the total cost of your booking (whichever is greater) will be payable when you book to confirm and secure your booking.  This is fully refundable if you cancel your booking up to 14 days prior to the arrival date.  If you cancel your booking within the 14-day period leading up to your arrival date, the deposit will be retained.  If you cancel your booking the day before, on the day, or do not ‘show up’ then we reserve the right to request that you pay the balance of the cost of your booking.  Please refer to our cancellation section.

Bookings made through other online booking agents are subject to the terms, conditions and policies of each respective agent.  Payment methods and deposit amounts may vary.

Payment of Balance

If you have not already paid in full, the balance of your stay is payable by cash or bank transfer on arrival.  Please note that we do not take credit or debit cards.

Arrival/Check-In

Check-in is from 4.30pm on the day of arrival, although your accommodation may sometimes be ready before then.

Should you arrive earlier, we are happy to let you pick up your parking permit and drop off your luggage.

We aim to be as flexible as possible with check in times and collection of parking permits and we will ask you to let us know your expected time of arrival so that we can plan ahead.

If a guest has not arrived by 7.30pm and has not contacted us to update us on their arrival time and/or cannot be contacted by us, then after this time it will be considered that a guest is a ‘no show’ and attempts may be made to rebook the room.  In such cases, any payment is non-refundable and the room may no longer be available.

Departure/Check-Out

Check-out is by 10.30am on your final day.

Please be ready to leave your room by 10.30am on the day of your departure, again we can sometimes be flexible depending on the circumstances.

Cancellation/No Show/Insurance

If you need to cancel, please contact us as soon as possible.  This enables us to rebook the room to other visitors.  A minimum of 14 days’ notice prior to the arrival date is required for all cancellations.  Cancellations made within 14 days prior to arrival are subject to a cancellation fee equivalent to the amount of your deposit.  Guests who cancel on the day before or the actual day of arrival or fail to show will be subject to a cancellation fee for the full amount of their reservation.  Exceptions to this policy are at our discretion.

Bookings made through other online booking agents are subject to the terms, conditions and policies of each respective agent.

We strongly recommend that you take out travel insurance to cover the cost of your holiday.

Deposits are not transferable between guests.  Should you wish to amend your booking, please contact us as the deposit may be transferred subject to circumstances and availability.

Non-Availability

We would only cancel your booking if your accommodation was unavailable for reasons beyond our control.  We would attempt to offer you alternative accommodation, however, if this was not possible, or unacceptable to you, then we would refund all monies paid by you. Our liability would not extend beyond this refund.

Damage to Property

Please take care of your accommodation.  We ask that you report any incidents as they occur.  We do not normally charge for minor accidents, however, we will charge for the full cost of more significant breakages, missing items and any damage caused and we may make an additional charge of £50 if you did not report this.

We ask all guests to be considerate towards other guests, especially late at night.  Excessive noise, unruly or threatening behaviour etc, which causes inconvenience and discomfort to our other guests and/or staff is not acceptable.  Such behaviour will result in the offending person(s) being asked to vacate their room and leave the premises but they will be charged the full amount for their stay.

Lost Keys

Non return of room/door keys necessitating replacement locks will incur a charge of £100.

Stag/Hen/Group Bookings

We do not accept large group/party/hen/stag bookings.  Exceptions to this are at our discretion.

Normally, single sex parties of more than three people are not accepted and we reserve the right to refuse such bookings made online.

The exclusion of same sex groups is purely in respect of stag and hen groups as excessive noise and unruly behaviour will not be tolerated.  However, we welcome same sex couples.

Access

Please note that there are 9 steps leading up to the front door and upper ground level; no level access or ramp is available for guests with mobility limitations.  The property is spread over four floors and there is no lift.  If you require any more information regarding access, please call us on 01947 602683.

Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

Valuables left in your room are at your own risk.  We cannot provide secure storage for these items.

Whilst we have taken reasonable steps to ensure that information contained within our brochures, tariffs, leaflets, guest information, website and other advertisement materials is accurate, it is not guaranteed and we reserve the right to alter, substitute or withdraw any service, facility or amenity without notice if necessary.

Data Protection

Any data gathered during the course of your booking may be held on computer.  This information is only used for the purpose for which it was intended and will only be disclosed to others in the event of a legal requirement.
